GBHP Project Heritage Proposal 3rd Oct 2023

Management Summary

The GBHP Heritage Project has progressed to a fully functioning website in fifteen months. The process to transfer the Current Site from a private account to a New Site in the PC’s name are outlined below. The timetable and costs are substantially as proposed at the PC meeting on 3rd Jan 2023 plus minor new costs for security software and price increases.  Approximately eight to ten weeks are needed between the date of purchase of the New Site, and going live, to install and test.  

About 1000 hours have been spent developing the Current Site, including the structure, content and transcribing old documents. Former and present residents have been interviewed, and other interested parties including Roy Collis (ex-County Librarian and Dep Lt of Bucks) have been consulted. There have been dozens of contributions all of which are live on the site today.  A vote of thanks is due to Marcus Feinhols from Fine Homes Property for part-funding the Site and for the support from all contributing residents.

Objectives

These are best summarised as follows:-

  1. To provide a working on-line platform for the storage, dissemination and editing of heritage information about the village of Great Brickhill, Buckinghamshire. 
  2. The information includes but is not limited to text, images, and videos. The site needs to be managed with support available in the chosen editing language which is WordPress.com
  3. The site needs to be secure and managed as a ‘members only’ site. Membership can be fee based or free at the discretion of the Parish Council.  An on-line payment system is incorporated.

Site Access by Parish Councillors

All Parish Councillors will have FREE site access once they have filled in the ‘Guest Visitors Book’ individually. Deepak has been an Administrator since the inception of the project. 

Duty of Care

We have a Duty of Care to all the suppliers of content, in several forms, for use on the Site. It is secure with management controls which need to be taken over by the Parish Council. Without these correctly managed controls, the Site will become ‘open to all’ in the Internet environment which would be a dereliction of duty towards village families and others involved.  

Post-Handover

Post-handover the overall management of the New Site, the Duty of Care, domain, ownership, and finances will become the PC’s responsibility.

Personnel Required

The Site requires ongoing Membership & Admin Secretaries and a Content Manager.  The PC Clerk could incorporate the finances into the ongoing PC duties. 

Training will be available from David Marlow as required. Anyone familiar with a personal computer, a spreadsheet and social media would be able to fill the Membership Secretary post. The Content Manager should be confident with editing documents, word processing (Word) and associated personal computer skills. The Admin Manager ideally should have WordPress experience. Unqualified individuals could be trained. 

Timeline

  1. PC to purchase a new WordPress.com hosted website (New Site) in their name ASAP.
  2. WordPress Business Package and Membership software to be purchased by PC ASAP.
  3. Membership Secretary to be trained by mid Dec 2023.
  4. Site officially opened to the public mid Dec 2023.
  5. Content Manager to be fully trained by February 2024.
  6. Admin Manager to be in place to replace David Marlow who will hand-over all responsibility for the site by the end March 2024. DM will still be available for advice and some mentoring after this date.
